Eye test reminders: how optical shops bring customers back

Most customers don't switch opticians because they found someone better. They forget when their last eye test was, and the next time they need glasses, the nearest shop or an online store gets the sale. A short, well-timed reminder fixes that.
Why reminders matter more than discounts
An optical shop already has what online stores can't copy: the customer's eye power history, a face they trust and a counter they can walk into. Reminders turn that history into a reason to come back. A customer who hears from you on the right day has a reason to come back to you instead of clicking a discount banner from a stranger.
The five reminders every shop should send
| Reminder | When to send | Why it works |
|---|---|---|
| Glasses ready | The day the order is ready | Customers pick up sooner, and you collect the balance faster. |
| Eye test due | About 12 months after the last test, or sooner if the optometrist advised it | The most valuable reminder: a new test often leads to new lenses or frames. |
| Contact lens reorder | A few days before their current supply runs out | Keeps a repeat purchase from drifting to an online store. |
| Birthday or anniversary | On the day | A personal note from a local shop stands out, especially with a small offer. |
| Festival offer | A week before Diwali, Eid, Christmas or your local festival | Gives a reason to visit when people are already shopping. |
Medical intervals are for your optometrist to decide. Use 12 months as the default for adults, and set a shorter interval for any customer the optometrist asked to come back sooner.
What to write
Keep it short, use the customer's name and sign it with your shop's name. Every message should say what to do next.
- Eye test due: "Hi Meera, it has been a year since your last eye test at Shree Opticals. Book a free check-up this week. Reply or call 98XXX XXXXX."
- Glasses ready: "Hi Rahul, your glasses are ready at Shree Opticals. Balance due: ₹1,200. Open 10am to 8pm."
- Contact lens reorder: "Hi Priya, your contact lenses should be running low. Reply YES and we'll keep a fresh box ready."
- Birthday: "Happy birthday, Rahul! Shree Opticals wishes you a clear and bright year. Enjoy 10% off any frame this week."
Rules to follow in India
- Ask first. Tell customers at the counter that you'll send reminders and offers, and stop at once if anyone asks you to.
- Register for SMS. Business SMS in India must go out through a sender ID and templates registered on a DLT portal under TRAI's rules. Your SMS provider will guide you; the registration usually takes a few working days.
- Don't overdo offers. One or two promotional messages a month is plenty. Useful reminders (glasses ready, test due) are welcome; constant discounts are not.
- Protect the data. Prescriptions and phone numbers are personal information. Keep them in your shop's system, not on staff phones.
Doing it without a notebook
Reminders only work if they go out every day, and a notebook or a phone's contact list makes that hard. Optical billing software that saves the eye test date with each bill can show you who is due each morning. In Opticdigit, every bill records the eye power and date, the dashboard lists the week's follow-ups, and one tap sends the SMS under your shop's name.
